1. Information We Collect

Information You/Authorized Users Provide:

• Personal information (name, email, phone, date of birth)
• Athletic information (sport, position, statistics, achievements, metrics)
• Academic information (GPA, test scores)
• Media (photos, videos, highlight reels)
• Consents (media, age, verifications)

Information from Social Media:

If you choose to link your social media accounts (Instagram, Twitter/X, YouTube, etc.) to your profile, we will display:

• Your username/handle for that platform
• A clickable link to your public profile
• Your profile picture or avatar (if publicly available)

You control which accounts are linked and what is displayed. We do not automatically post content from your social media or access non-public information. You may remove social media connections at any time.

Information from Others:

• Payment confirmation from Stripe
• Information a coach or reference provides that you choose to add to your profile

Automatically Collected Information:

• Browser type, device information, IP address
• Pages visited, referring website
• General geographic location

2. How We Use Your Information

• Create and manage your athlete profile
• Display profile to authorized viewers (coaches with access codes)
• Process payments and manage subscriptions
• Provide customer support
• Improve our Service
• Comply with legal obligations

3. Activity Records

We keep basic records needed to run the service, such as when your account was created, when you accepted our terms, when a profile was submitted or published, and when access codes are used to view a profile. These records help us support you and keep the service secure. We do not keep a full edit-by-edit history of every profile change.

4. Information Sharing

Profile Visibility:

• Public preview (anyone with your link): name, photo, sport and position, class year and grade, jersey number, school, club team, city and state, and a few headline numbers chosen for your profile (for example height, GPA, or a key stat).
• Full profile (access code required): your story, videos, detailed stats, academics, references, photo gallery, and any contact details you choose to include.

If a profile has no access code, the full profile is public. Anyone who can see a page can copy or screenshot it, and search engines may find public pages.

Coach Access:

Anyone who requests access to a profile through our request form is emailed its access code automatically. Athlete Intro does not verify that the person requesting access is a coach. Anyone with a valid code can view the full profile. You can turn off a code at any time; that stops new viewers right away, but someone who already unlocked the profile may keep viewing for up to 12 hours, and anything already copied or downloaded can't be taken back.

Service Providers:

We use outside companies to run the service: Stripe (payments), Supabase (database and file storage), Vercel (hosting), Resend (email), Google Analytics (website analytics), and Google Gemini (Story Spark, if you use it). They may use your information only to provide their service to us, under their own terms.

Story Spark (our optional writing helper):

If you choose to use Story Spark, the draft story and the messages you type are sent to Google (Gemini API) to help write the student-athlete's story, and the reply comes back to us. We use Google's paid API service, under which Google does not use this content to train or improve its products; Google may keep it for a limited time to monitor for abuse. We save the conversation in your account until your account is deleted. Story Spark is meant to be used by the account holder or with the account holder's permission. It is optional: you can write the story yourself without it. Please don't type private contact details, medical information, or anything you don't want processed.

Copy-and-Paste Prompts in the Recruiting Guide:

Some guides include prompts you can copy into your own AI account (such as Claude, ChatGPT, or Google Gemini). When you do that, you are using that company's service directly under its own terms and privacy policy. We don't send that information, can't see those conversations, and don't receive what they generate. Check that service's age and account rules before letting a student use it.

Affiliates:

We may share information with current or future affiliates or related companies under Zoptic, LLC for legitimate business purposes. Any affiliates will be bound by this Privacy Policy.

Corporate Transactions:

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership or control of your personal information.

Legal Requirements:

We may disclose information when required by law or to protect rights and safety.

5. Minors (Under 18)

• Accounts are owned by adults (18 or older).
• Profiles for student-athletes under 18 are created and managed by a parent or legal guardian. Profiles are for student-athletes 13 and older.
• The parent or guardian can see, change, export, or ask us to delete the student-athlete's information at any time from the account or by emailing info@getzoptic.com.

6. Your Rights

• Access and obtain a copy of your data
• Correct inaccurate information
• Request deletion of your data
• Opt out of marketing communications

7. Data Retention

• Active accounts: while your subscription is active
• Expired or canceled subscriptions: 12 months, so you can come back without starting over. You can ask us to delete sooner.
• Payment records: 7 years, for tax and legal reasons
• After a deletion request: published profiles come down within 24-48 hours and account data is deleted within 30 days. Copies in routine database backups expire on their normal schedule. See our Deletion & Retention Policy.

8. Policy Changes

We reserve the right to amend this Privacy Policy at any time. The current version will always be available on our website. If we make material changes, we will notify you via email or by posting a notice on the Site prior to the change becoming effective.
